Software compliance – what is it and how can you achieve it?
It’s a well known fact that all organizations have to live and operate by various laws, regulations and standards, or the so called compliances that you probably have heard of. Specifically, the software compliance term is not that much familiar – maybe you’ve heard of it, but if you’re not the CIO or the software asset manager of your organization, you probably don’t know exactly what it entails.
So, what is software compliance?
Let’s look at the two words that form the concept separately: software – the data (or instructions) that tell a computer how to operate and compliance – a policy, regulation or standard that people and/or organizations need to conform to. Put together, software compliance refers to the specific policies and regulations that companies need to comply with when it comes to the deployment and usage of the software products they purchased.
How can you achieve software compliance?
From an end user perspective, the first step towards software licensing compliance is a proper management of the entitlements – knowing what software is purchased, deployed and used, at all times. If you have a complete and accurate overview of the software products within the organization, you know when it’s a good time to purchase more or phase out what is installed.
Without such overview, the software compliance position is surely threatened. For example, without knowing what is installed and used on which computers, at what moment in time can lead to multiple users accessing the program simultaneously. It’s possible that this is stipulated in your agreement with the software vendor, and then your software compliance is not at risk. However, not knowing what is included in your agreement exposes you to risks both from a software compliance as well as costs perspective.
Is the perfect software compliance a myth?
There is no organization on Earth that would want to be just half compliant. However, in practice, this happens a lot. Usually, most companies have purchased and are using software programs from multiple software vendors; each vendor having its own definitions, rules or standards. In general, software license compliance has the same meaning for all vendors, but to understand the software licensing scenarios, terms and conditions for each is not an easy task and it requires specialized knowledge.
On top of the already complicated licensing definitions and policies, the software vendors usually reserve the right to update the programs and the way some products are licensed, without prior notice to the customers. This means that even if you have a perfect overview of your entitlements and your software compliance position is just right, everything can change overnight. Therefore, it’s important to keep an eye on the changes in software programs and licensing terms of software vendors, if you don’t want to be at risk when it comes to software compliance.
